Melinda Stanley - Rescheduling Events

Sometimes you may need to update or reschedule an event that has already been published.  

Updating events has 3 default actions: 

  1. A new event with the updated information is created on your calendar.
  2. The original event is grayed out on the calendar with the rescheduled date noted. When clicked, the customer will be directed to the rescheduled date.
  3. If the event requires registration customers who have already signed up are notified of the change via email and/or SMS notification. 

 

If you need to make a simple update and do not want a rescheduled event to appear on your calendar nor do you want to send notifications to registrants, simply select the ‘update only, do not mark as rescheduled’ option before saving. When selected, no notifications will be sent, and a rescheduled event will not be created.

Controlling publication can help you effectively market your events on your own timeline. Being able to publish later allows library staff to create events well in advance and move your event through the review process. By using the publish later feature you can rest assured that nothing will display on your customer-facing calendar until you are ready for it to be viewable by the public.  

To set the date for publishing an event, toggle the “Show when published’ to ‘no’ and select the future date and time you wish to have the event automatically appear on your calendar.  

 

 

Please note: if your events require review the event will not appear on your calendar if the Publisher has not approved the event. 

 You may also have the use case of wanting to promote an event early, but you aren’t ready to have customers register yet. If needed, you can use several different options as to when customers can begin signing up for your events.  

 If it’s a single event you can choose a specific date and time when the event registration will become available. If the event is a series, you have a few options: 

  1. You may open registration at the time of publishing (this is the default setting).
  2. You may open registration for all dates in your series on a future specified date and time.  
  3. You may choose to stagger opening registration dates. For example, registration begins 30 days before each event in your series.  

 

Please note: if whole series registration is enabled you will only be able to open registration on a relative date to the first event in your series. 

Regardless of the selected option the date will be clearly noted on your event calendar so customers know exactly when they can begin registering for your events and programs.  

Addie Van Salisbury - Creating Custom URLs

By default, your event listing page will display a list of all events at all locations for the current day, but if you’d like to highlight specific events you may do so using customized URLs.  This is done by using your event page URL and appending filters to the end of the URL, and your customized URLs will direct users to the specified list of events.   

Some of the most common filters are date range (r), age group (a), location(l), and/or event type (t). If you’re using more than one filter in a particular group (e.g. multiple age groups) place a comma between your words. If you’d like to use multiple types of filters simply place an ampersand in between your filters.  

 

 

For example: 

https://seasons.libnet.info/events?l=falltown&r=nextmonth&a=adults,seniors   

There are many more options and combinations you may create as well that include keywords, search tags, specified date ranges, and the ability to exclude content as well.
